Clear services and responsibilities.

Available tools, access terms and points to agree before opening your professional workspace.

This page explains how the service currently works. It is not an accepted quote, a signed contract or a licence activation.

An agreement suited to your use

Agency workspace

Itineraries, templates, CSV imports with file-size limits, supplier correspondence tracking and checks before sharing with the client. These tools cover Costa Rica.

Local service provider

A listing, practical information and the chosen collaboration. Your own terms continue to govern bookings, payments and delivery of your service.

Institution or network

Documented resources and, after agreeing on the process, project summaries that their authors choose to share with authorised members of your organisation.

Listing verification is free. The agency workspace, traveller access distribution and commercial collaborations are separate agreements. Personal access does not constitute an agency licence.

A clear offer before committing

Choose standard agency workspace plans using the calculator. The summary sets out users, included files, duration, price and terms before payment. No quote is needed for these plans.

Needs beyond these plans, cooperation with a provider or institution, or distribution of personal access require a separate agreement. A quote then specifies services, responsibilities, dates, volumes and pricing before opening.

An application alone does not trigger a purchase. Access to the app alone does not imply automatic renewal or unlimited usage rights. Commission or sponsored placement also requires a separate agreement. No certification can be bought.

Handover to the client

  1. The agency checks the itinerary, access, arrival, first nights and supplier confirmations.
  2. An invitation is prepared for the client’s email address. They confirm receipt of the version in their account.
  3. They download and open their protected travel pack before departure, then check that it reopens offline.

Included access covers only the itinerary received, during the dates chosen by the agency before sending it. It does not automatically unlock all Cap Ailleurs paths. After it expires, independent personal access may remain valid.

A previously saved copy remains readable and exportable on the device with its protection passphrase. A new version does not automatically merge memories. Without a prepared copy, the companion cannot retrieve a travel pack whose online access has expired.

Limits to be aware of

Offline: stops, contacts, resources and routes prepared in the travel pack. The full basemap and calculation of a new route offline are not included. Travel times remain estimates to review against local conditions.

Journal notes and small photos remain local and encrypted, within the travel pack’s limits. Account synchronisation is not available. Keep the originals for printing or a future photo book.

The workspace does not include automatic bookings, management of traveller funds, live flight tracking or native PDF/XLSX imports. Available exports and exchanges do not provide universal integration with agency software.

Who does what

Cap Ailleurs

Provides the tools and explains their limits. Cap Ailleurs is not a travel agency, a trip organiser or an emergency service.

The agency and service provider

Confirm their offers, availability and services. The agency remains responsible for its contractual relationship with the traveller and for reviewing the stay it prepares.

The recipient of a project

Views only the summary shared with their organisation, indicates the next step and uses the information for the intended request. A reply in the portal does not constitute an administrative decision or funding approval.

Data, privacy and end of access

Access to authorised professional workspaces requires a personal account with a confirmed email address, linked to the organisation and protected by two-factor authentication. A role alone does not grant access to all user files.

For a project summary, the applicant chooses the information and recipient and can withdraw sharing before its thirty-day expiry. Previously downloaded files are not remotely deleted by this withdrawal.

Before use with your clients, the agreement identifies data-processing responsibilities, technical recipients, any transfers, retention, rights requests and incident handling. When Cap Ailleurs processes data on behalf of an organisation, that scope requires an appropriate data-processing agreement.

Export arrangements, data return or deletion and the end of support are specified in the agreement. Exported copies remain the responsibility of their holder.

Requirements for opening your workspace

Before opening, the file must include the applicable commercial agreement, a review of the contractual and data framework, named responsible people and verification of the agreed process. This page promises no accreditation, permanent response time or guaranteed availability level.

The terms of consumer offers continue to govern those offers; this professional information does not replace them.
